Link other email addresses to your user account

This article answers the following questions:

Email your prospects and leads from different email addresses

When setting up your sales process, you need to make sure the right settings and features are configured in your lead management software — and that includes your email settings.

If you need to send emails from multiple addresses, noCRM offers two approaches depending on your situation: email aliases and shared inboxes.


Option 1: Email aliases

Only with the Dream edition

An email alias is an additional address that shares the same inbox as your main email address. For example, if your main address is john@company.com, an alias could be sales@company.com — both land in the same inbox.

Aliases must be created from your main email provider (Gmail, Outlook, etc.) before adding them to noCRM. If the alias doesn't actually forward to your main inbox, it won't work.

Use this option when:

  • You manage multiple departments or brands
  • You want to send from different addresses but manage everything from one inbox

How to set it up:

  1. Click the ✉️ envelope icon in the top navigation bar.
  2. In the left menu under Email settings, click Email synchronization.
  3. Scroll down to the Email aliases section and click Add an email alias.
  4. Enter a display name and the alias address, then click Save.
  5. To use it: open any prospect or lead, click New email, then select the desired sender address from the From dropdown.

The From dropdown lists your main inbox address and all configured aliases. Your main address is selected by default, and an alias only appears once it has been saved in your Email synchronization settings.

You can predefine only 1 email signature per user account, regardless of how many aliases you use.


Option 2: Shared inboxes

A shared inbox is a team email address (e.g., sales@company.com or support@company.com) that multiple users can access and send from within noCRM.

Use this option when:

  • Multiple team members need to send and receive emails from the same address
  • You want to centralize communication for a team or department
